Many Australian workplaces operate under more than one Enterprise Bargaining Agreement (EBA) at once — different sites, different awards, different employee groups, each with its own entitlements and compliance conditions. Shiftsheet’s EBAs page lets you model that directly: create an EBA, assign the employees covered by it, and scope compliance rules so they only apply to that group.

What an EBA is in Shiftsheet

An EBA record is a container for a real agreement: Each EBA has its own Users tab and its own Insight Rules tab.

Assigning employees

Open an EBA and go to Users → Add User to assign employees or managers to it. A user can only be assigned to one EBA at a time — this is how Shiftsheet knows which rule set applies to which person. Employees who aren’t assigned to any EBA are simply governed by the company’s default policies (RDO, TIL, Flexi, overtime distribution) — EBAs are additive, not required.

Scoping rules to an EBA

The Insight Rules tab on an EBA works like the company-wide Dynamic Insight rules everywhere else in Shiftsheet (condition groups, lookback windows, severity), except a rule created here is scoped: it only evaluates for users assigned to that specific EBA.
This is what makes multi-agreement compliance work in practice. Two EBAs can define conflicting conditions — e.g. different minimum break lengths, or different maximum consecutive shifts — and each group of employees is only ever checked against the agreement that actually applies to them.

Drafting rules automatically with AI Import

Reading a 40-page agreement clause by clause to hand-build rules is slow. From an EBA’s page, AI Import lets you:
  1. Upload the agreement as a PDF, or paste the relevant text directly
  2. Shiftsheet scans it for clauses about hours, breaks, consecutive duty, and RDO/TIL/Flexi-type entitlements
  3. It drafts a set of Insight Rules from what it finds
  4. You review and edit every drafted rule — condition groups, thresholds, severity — exactly as if you’d built it by hand
  5. Nothing is saved until you approve it
This is a drafting aid, not an automatic importer — always review AI-drafted rules against the actual agreement text before approving, especially for anything that affects pay or entitlements.

How this fits with RDO, TIL, and Flexi

EBA-scoped rules sit alongside the company-wide accrual policies covered in RDO, Flexi Time & TIL — they don’t replace them. A typical setup:
  • Company-wide policy (Settings → Overtime & Accrual) sets the default RDO/TIL/Flexi accrual rules everyone falls under.
  • EBA-scoped Insight Rules layer additional, agreement-specific compliance checks on top — for the subset of employees actually covered by that agreement.

Frequently asked questions

No — each user is assigned to at most one EBA at a time. If someone moves between agreements (e.g. changes site or role), reassign them on the new EBA’s Users tab.
Shiftsheet doesn’t automatically reassign anyone when an EBA’s expiry date passes. Review expiring EBAs and update user assignments or roll over to a renewed agreement as needed.
Company Admins and Managers can see and manage the EBAs page. Individual employees don’t get direct access — their EBA assignment simply determines which rules apply to them.
